How to map booking form responses to a custom field

Use the Apply fields contact automation to automatically map answers from your booking form to custom fields in your contacts.

Requirements to map booking form responses

  • You must have an event type you want to add the contact automation to

Step 1 – Create an Apply fields contact automation

  1. Go to Scheduling.
  2. Select the event type you want to edit to open the editor.
  3. In the editor, select More Options.
  4. Look for the Contact automations section.
  5. Find Apply custom field to contact and select + Add.
  6. In the dropdown, choose Invitee question.
  7. Select the booking form question you want to map.
  8. Select Enable.

This will create a new custom field that is titled with your event type name and the invitee question.

Step 2 – Add the field to your Contacts table view

Once the automation is set up, go to your Contacts page. Select Show columns, then add the new custom field to your table view. You'll now see the responses. 

Renaming the custom field only affects your Contacts page table view and not the booking form question.

How custom fields are created and named

Booking form mapping creates a new custom field. At this time, you cannot map invitee questions to an existing custom field.

The new field will be titled with your event type name and the invitee question. For example, if your event type is "15 min chat" and your question is "What’s our agenda?" the new custom field will be named "15 min chat - What’s our agenda?"

You can edit how this field name appears in your Contacts table later. This does not change the question your invitee sees on the booking page.

Frequently asked questions

Make sure:

  • You’re viewing the correct custom field that was created for the automation
  • The contact booked the event type with the mapping
  • They answered the question on the booking form
  • The mapping was set up before they booked

If a contact leaves a booking form question blank, nothing gets added to the contact field. That's normal. The field just stays empty.

No. Contact automations, mappings, and changes to them only apply to new bookings made after you set them up. If a contact booked before you created the automation or mapping, they won't be affected.

Changes to existing automations also only apply to future bookings—contacts who already booked won't be updated. This protects your existing contact data from changing unexpectedly.

No. Each booking form question can only map to one contact field. If you need the answer in multiple places, you'll need to manually copy it.

No. Each event type gets its own custom field. You cannot map the same invitee question to the same field in different event types. You will need to create separate custom fields for every event type you're mapping.

Yes. Contact automations overwrite existing field values when they run.

Example: If a contact's "Source" field is set to "LinkedIn" and you apply an automation that sets "Source" to "Website," the field updates to "Website" after the booking.
