How to set up a contact automation to add contacts to lists

Add to list contact automations automatically put contacts on specific lists when they book a meeting. For example, you can automatically add everyone who books a sales call to a "Hot Prospects" list.

Requirements to set up contact automations

  • You must have an event type you want to add the contact automation to

Step 1 – Create an Add to list contact automation

  1. Go to Scheduling.
  2. Select the event type you want to edit to open the editor.
  3. In the editor, select More Options.
  4. Look for the Contact automations section.
  5. Select + Add to create a new automation.
  6. Select Add to list.

Step 2 – Choose your list

  1. In the Add to list section, select Choose list.
  2. You can either:
    • Select an existing list from your contacts
    • Create a new list by typing the list name

Step 3 – Add multiple lists (optional)

One automation can add a contact to multiple lists. For example, when someone books a Sales Demo, you could add them to:

  • List 1: Sales Demos
  • List 2: Q4 Prospects

To add another list:

  1. Select + Add list.
  2. Choose or create the list.
  3. Repeat as needed.

Step 4 – Enable your automation

When you're ready to use the automation:

  1. Review your settings to make sure they're correct.
  2. Select the toggle to Enable the automation.
  3. The automation is now active.

Frequently asked questions

Check these things:

  • The contact automation is enabled (toggle should be on)
  • The contact booked the specific event type the contact automation is set up for
  • You enabled the contact automation before they booked

If you see the contact is already on the list, the automation worked. Contact automations won't add someone twice if they're already on the list.

No. Contact automations, mappings, and changes to them only apply to new bookings made after you set them up. If a contact booked before you created the automation or mapping, they won't be affected.

Changes to existing automations also only apply to future bookings—contacts who already booked won't be updated. This protects your existing contact data from changing unexpectedly.

If a contact books multiple times and an automation adds them to the same list, they stay on the list once. They're not added multiple times.

You can create separate contact automations for different event types, each adding to different lists.

Example:

  • Sales Demo automation adds contacts to "Sales Prospects"
  • Support Query automation adds contacts to "Support Tickets"
